0BPO/CIS (Customer Interaction Services) to our clients is based upon the knowledge gained from dealing with diverse clients.  We also have developed a transition tool kit based on our experience to assure a quick startup and minimal disruption to services during transition.

Based on our methodology and experience in migrating similar processes, we have identified the following stages for migrating the process.

Stage 1:  Analysis Phase

Analysis is a critical step in the Service Delivery Model and the transition team has cross-functional skills to make it a success.  During this phase, TransVisionary Solutions assigns a transition team, familiar with process transition and migration methodology, operations, technology, training, quality and mapping of the HR requirements.

The team from TransVisionary Solutions studies the available documentation on the processes, such as process maps, Standard Operating Procedures (SOP) Manuals, training material, performance data and metrics so as to perfect our services.

Key aspects of this stage are:

Report Formats and Performance Data
System Architecture and Technology
Training Material
Identify gaps and deviations between documented and actual process, if any. 
Create high-level process maps for present process, if relevant.
Identify broad costs of running the actual process.
Gain client approval of understanding of actual process.

Design of a high-level “Adapted Process.”  The focus is to:

Minimize changes to actual process
Design adaptations if the cost is prohibitively high
Ensure that the adapted design is as cost-effective as possible.

Seek client’s approval of elements of the “Adapted Process” in terms of:

Feasibility and ease of implementing Adapted Process
Timelines
Infrastructure and resource requirements

High-level understanding of:

HR profile and skills required
Training needs for those who will handle the process
Technological items that may impact the transition process

High-level Project Plan for transition with broad responsibilities, time frames and costs including:

Savings and items that impact productivity, if any
Risk parameters and de-risking strategies
Reviews and formal go-ahead from the client

The key execution of this phase is an Analysis Document that provides the blueprint on the critical factors that affect the transitioning and how the transitioning will take place.

TransVisionary Solutions has a focused quality staff that evaluates processes internally based on a checklist of requirements.  While the quality team focuses on the overall quality and adherence to delivery parameters, it is the Program Manager who holds the responsibility for quality assurance and implementation of the recommendations of the quality team for a particular process.

Client Critical Performance Measures (CPMs) are parameters defined by the customers based on their measures of success.  CPMs are identified upfront at the Transition stage in conjunction with the client and data available from the existing process.  These customer CPMs are deployed for data collection at transaction level and have both effectiveness and efficiency parameters across the dashboards which are used to capture data on a periodic basis. 

Our approach is to identify existing processes for customer feedback and complaint capture and the mechanism of closure.  After the “Process as it exists today” is identified, the advantages/disadvantages will be studied and a new process will be evolved based on the objective of VOC capture.  The tools will be developed as a part of this process evolution.
